We respect your privacy

Ducati Owners Club of NSW Incorporated (DOCNSW) respects the privacy of our members, volunteers, event participants and website visitors.

We collect and use personal information to run the Club, communicate with members and organise the rides, events and activities that make DOCNSW what it is.

We aim to handle your information responsibly and in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), where applicable.

What information do we collect?

Depending on how you interact with DOCNSW, we may collect information such as:

  • your name and contact details;
  • your membership details;
  • emergency contact details where you choose to provide them;
  • information needed to organise rides, events and activities;
  • payment and transaction information;
  • motorcycle details where relevant to Club activities;
  • information you provide when contacting the Club or completing a form or survey; and
  • photographs or video taken at Club events.

We only seek to collect information that is reasonably needed to operate the Club and provide activities and services to our members.

How do we use your information?

We use your information to do things such as:

  • manage your membership;
  • keep you informed about Club news, meetings, rides and events;
  • organise and administer Club activities;
  • process membership, event and merchandise payments;
  • manage Club records and finances;
  • deal with enquiries and member requests;
  • meet our insurance, safety, legal and governance responsibilities; and
  • improve the Club and understand what our members want from their Club.

We may contact you by email, telephone, SMS or other appropriate means.

We may also send you information about Club events, activities, merchandise and other opportunities relevant to DOCNSW members.

Who might we share your information with?

We don’t sell, rent or trade your personal information.

Sometimes we need to provide information to other people or organisations to allow the Club to operate. For example, information may be shared with:

  • Club office bearers or authorised volunteers who need it to carry out their Club responsibilities;
  • event organisers, venues or suppliers;
  • insurers or professional advisers;
  • payment and event-registration providers;
  • accounting, membership or other technology providers; or
  • government or emergency services where required or appropriate.

We will only share information that is reasonably necessary for the particular purpose.

We may also disclose information where we are required to do so by law or where it is reasonably necessary to protect someone’s safety.

What about the membership register?

DOCNSW maintains a membership register as part of the Club’s administration.

The membership register is not the same thing as unrestricted access to all personal information held by the Club.

Where a member has a right to access the membership register under the Club’s Constitution or applicable legislation, DOCNSW will deal with that request in accordance with those requirements.

We will take reasonable steps to ensure that information is not used or disclosed outside the purpose for which access has been provided.

Photos and videos at Club events

DOCNSW is a social club and photographs and videos are often taken at rides, events and other Club activities.

Photos or video may be used in Club communications, newsletters, the DOCNSW website, social media, event reports and other material promoting or recording Club activities.

If you have a particular concern about a photograph or video featuring you, please contact us and we will consider your request.

Keeping your information safe

We take reasonable steps to protect your personal information from loss, misuse, unauthorised access or disclosure.

Access to member information is limited to people who need it to perform their role for the Club.

Like all organisations that use electronic systems, we cannot guarantee that information transmitted or stored electronically will always be completely secure. We will, however, take reasonable steps to protect the information we hold.

Third-party websites and services

DOCNSW uses a number of online services to help run the Club. These may include membership systems, event registration and ticketing platforms, payment providers, accounting systems, email services and social media platforms.

Some of these services may store or process information outside Australia and will have their own privacy policies.

When you use a third-party service through a DOCNSW link, you should also consider that provider’s privacy policy.

If you would like to know what personal information DOCNSW holds about you, or you believe something we hold is incorrect or out of date, please contact us.

We may need to confirm your identity before providing access to personal information.

We will deal with reasonable requests as promptly as we can, subject to any legal or privacy requirements that may apply.
